Academic Advising

Academic advising is an important component of the educational program at Case Western Reserve University. It is through advising that faculty can communicate to students the expectations and opportunities associated with the academic program at Case. Equally important, the practice of advising allows faculty to develop an understanding of students’ unique interests, talents, and professional aspirations. With that understanding, faculty are able to guide students through the undergraduate program and to address students’ academic and professional concerns.

The Office of Undergraduate Studies is committed to facilitating the strongest possible faculty advising program. To that end, a group of faculty and students met regularly throughout the 1996-1997 academic year to discuss the advising program at Case. Through those discussions, a consensus emerged and guidelines were developed to remind students, advisors, department representatives, and the Office of Undergraduate Studies of their responsibilities in the conduct of advising.

Responsibilities of the Student

  1. Learn academic rules and regulations and use campus resources.
  2. Learn curricular requirements for your academic program.
  3. Initiate and maintain regular contact with your advisor.
  4. Formulate academic and professional goals and have specific questions prepared for advising appointments.
  5. Obtain required signatures on all forms relating to registration, major and minor declaration and graduation.
  6. Keep copies of all forms and correspondance relating to registration, major and minor declaration and graduation.
  7. Review on an annual basis with your advisor your progress toward graduation.
  8. Notify your advisor and the Office of Undergraduate Studies if you plan to withdraw from the University.
  9. Assume responsibility for your academic and professional choices.

Responsibilities of the Advisor

  1. Know academic rules and regulations and become familiar with campus resources.
  2. Know the curriculum (general education or core requirements, major and minor requirements for your department).
  3. Publicize and keep office hours and be regularly available to students.
  4. Become well-acquainted with each advisee’s academic progress and professional direction.
  5. Make referrals to the Office of Undergraduate Studies, University Counseling Services, Educational Support Services, Career Planning and Placement and other university support offices.
  6. Become knowledgeable about graduate school and professional opportunities.
  7. Review on an annual basis with your advisees their progress toward graduation and document completion of requirements and approved exceptions.
  8. Assume the mentoring role inherent in good academic advising.

Responsibilities of the Academic Representative

  1. Coordinate advising and recordkeeping in your department.
  2. Distribute advising information (transcripts, mailings to faculty) to advisors in a timely fashion.
  3. Reassign "orphaned" advisees of faculty on sabbatical or leave and notify the Office of Undergraduate Studies of changes in advisor/advisee assignments.
  4. Publicize among department advisors and notify the Office of Undergraduate Studies of any approved changes to department major and minor requirements.
  5. Publicize information and opportunities of interest to majors in your department.

Responsibilities of the Office of Undergraduate Studies

  1. Maintain students’ educational records.
  2. Publish and distribute official information guides to students and faculty.
  3. Maintain and distribute accurate advisee information to faculty advisors.
  4. Provide orientation sessions for faculty.
  5. Answer student and faculty questions about University rules, practices, programs, and resources.
  6. Advise non-freshman who have not declared a major.
  7. Provide information and advice to students about study abroad, accelerated undergraduate to graduate and professional school programs, academic awards, and fellowship and scholarship opportunities.
  8. Certify graduates.
