What is the SIS Project?
The vision for the Student Information System Project is to provide state-of-the-art software for managing student academic and financial records. The system will provide Case Western Reserve University campus members the tools to create, maintain and report on student data in an efficient and convenient manner. Upon completion of the project, the system will improve the quality of the academic experience for students, faculty and staff. PeopleSoft SIS will be the single, integrated, authoritative source for student-related data.

Why was PeopleSoft Campus Solutions chosen for the new student information system?
Case currently uses PeopleSoft software to manage Financials and Human Resources systems. By using software developed by the same supplier, the university can take advantage of the technology infrastructure already in place as well as technology and user expertise gained from earlier implementations. In addition, integration and interfaces between modules are provided as part of the product license. If similar software were developed in-house or by another supplier, custom interfaces would need to be created.

What about my Social Security Number?
The new SIS will eliminate the reliance on Social Security Number as the primary student identifier. In the new system, each student will be assigned a unique campus identification number to be used as the primary identifier.

Who is implementing the SIS Project?
Case has selected CedarCrestone, Inc. as its implementation partner for PeopleSoft Campus Solutions software. CedarCrestone is a global leader in implementing PeopleSoft systems in higher education institutions.
The SIS Project is led by Jack George (Project Director, Case) and Marilyn Kraus (Project Manager, CedarCrestone). The project utilizes a team approach, with Don Feke (Executive Sponsor) and an Executive Steering Committee providing oversight. Project teams include a representative group of stakeholders from all colleges and select offices across campus, as well as students and consultants. The teams are committed to working collaboratively to successfully complete the project on time and on budget.

Who is working on this project?
The SIS project team is comprised of dedicated individuals committed to a successful, on-time and in-budget implementation. The core SIS Project team consists of twenty Case employees who are supported by five consulting resources. While some of the Case staff are dedicated full time to the SIS project, many are still performing their regular day-to-day responsibilities while working on the project. This team works under the direction of the SIS Steering Committee and the Project Executive Sponsor.
In order for the University to reap the greatest benefits from the new system, many other individuals from the student body, faculty, the schools, academic departments, central administrative offices, and others, will also be involved. These individuals are critical to the project’s success and will play an integral role in making decisions, redesigning business processes, validating and testing the software, and providing input to the SIS Project team.

When will the SIS Project begin?
The Board of Trustees approved the SIS Project in June 2006. Project team members have been identified and work on the SIS Project has begun.

When will PeopleSoft SIS be ready to use?
The target date for full implementation of PeopleSoft SIS has been set for March 2008.

What will happen to the current systems once PeopleSoft SIS is implemented?
The legacy systems currently in use will be slowly phased out. Phase-out announcements will be posted on the SIS Project home page as well as other Case campus communications at appropriate times.

How much will it cost to implement the new SIS system?
The Student Information System (SIS) project is a multi-year, multi-million dollar initiative that will provide improved service and enhanced security to the university’s most important customers: its students. Included in the SIS project budget are costs for hardware and storage, software and licensing, consulting assistance, Case staffing, training and communications.
The SIS project is the final phase of Case's Enterprise Resource Planning (ERP) initiative to replace antiquated legacy administrative systems with a university-wide, integrated, web-based system. The Financials and Human Capital Management systems implementations have already been successfully completed on-time and in-budget. The SIS is the largest and most complex of the three ERP systems to be implemented at Case. The new system will enhance essential student services, such as registration, grades, transcripts, academic advising, degree progress reports, student accounts and billing data.

Will PeopleSoft SIS be updated as technology upgrades and advances become available?
Case will be installing the most recent version of PeopleSoft Campus Solutions (version 9.0). This will allow the university to stay up to date on software patches and upgrade/technology releases for the new system.

What kind of training will be available for PeopleSoft SIS users?
Training for key users from each college and other power users has already begun. Students, faculty and staff will be offered training as we approach the implementation date.

How can I be involved?
Student and Faculty Focus Groups are being formed for SIS Project input and feedback. As the project progresses, there will be additional opportunities for members of the campus community to provide feedback regarding the developing system. Such opportunities will be announced via the SIS Project Web site and other Case campus communications.
