University cost per copy program

 

Auxiliary Services and Procurement and Distribution Services are pleased to announce that Meritech has been chosen as the successful vendor for the CWRU cost per copy program. In order to expedite the process of equipment change out, Meritech will begin an extensive assessment and analysis of enterprise wide needs for the program.

Assessment Process
Representatives will be contacting several key stakeholders to ensure that we can “rightsize” our fleet of multi-functional devices (MFD’s), copiers and printers.
This assessment will start immediately and is expected to be complete within 90 days.

Some problem areas have been targeted based on current service records and will be given high priority in the assessment process. Certain areas have already been contacted and efforts are being made to replace and upgrade equipment even though the assessment process will just be starting for the rest of the university.

Academic areas will be contacted first and the business officers (8 schools) will act as an important resource to ensure that all relevant stakeholders can be contacted to help with the assessment process.

Following the academic area assessments, administrative areas will be contacted, although areas with high importance and urgent need, may take priority over some academic areas.

 

Objectives
In conducting the assessment, the following criteria will be considered amongst others:
• Workflow needs in a particular physical location
• Volume of output, including software and equipment needs
• Security needs for print output
• Environmental and Financial improvements i.e opportunities to eliminate waste and redundancy

 

Pricing
• Final pricing will be determined by the efficiency gains after the total assessment process is complete and all copy equipment has been replaced. University personnel is working closely with Meritech and expects to reduce the overall departmental expenses associated with copying, scanning, printing and faxing.

We're excited to announce Meritech has given the university a discounted price during the assessment!

For existing machines (from the old contract) you will be billed .0115 per click, until your machine is replaced.

For new equipment, the cost is .01325 per click, during the assessment period.

 

New improvements to the program

• All devices are digital. Under the previous contract, many devices were older analog machines. Digital units do more, print at higher quality, but use fewer parts and typically require less service.
Updated office technology - every office needs a copier, a printer, fax and scanner these days. The multi-function devices being installed combine these into a single unit. What's more, the cost is less than buying, supplies, maintaining & the energy consumption of these devices separately, not to mention saving office space!

• The new contract places machines strategically, according to volume needs. This strategy helps to right-size the fleet of machines, to ensure costs are kept low for the university.

• Meritech website. Meritech has created a web site exclusively for Case. You will now access the copier program online to update your contact information, order supplies, request service. You can also access training manuals, download drivers & instructions, etc.

Assessment and Roll-out Calendar

The assessment & roll-out will be completed in 3 phases.

Phase 1

Meritech has determined there are between 40 - 50 machines, predominately high volume equipment, that needs to be upgraded to the new equipment immediately. Due to their volume, these machines will not be affected by the assessment.

Phase 2

Equipment scheduled to be replaced, that because of volume & location, requiring minimal assessment.

Phase 3

After analysis of the assessment, Meritech will make a recommendation to Case for placement & model types. A schedule for replacement will then be determined.


This area will be updated weekly, listing machine replacements & areas/departments surveyed for assessment.
