Check Deposit Procedures

Check deposits are handled by the Peoplesoft system. Click here for more information.

Failure to adhere to the procedures may result in the rejection of your deposit slip. Do not send deposits through the mail. Please wait for your receipt at the window. You should always receive a computer receipt unless the Cashier's Office encounters a computer system problem, in which case, they will issue a written receipt. Always make sure your computer receipt matches your deposit slip. All checks should be deposited at the Cashier's Office within 5 days of receipt.

All non-sponsored project and non-charitable contribution checks of $500 or more received by departments should be processed immediately and checks less than $500 should be processed within 5 business days. Please note the date the check was received on the back of the check. The cashier's office will be reviewing checks for the timeliness of processing. If this procedure cannot be followed due to extenuating circumstances please notify the cashier (x4276). All deposits to existing University accounts must include backup documentation as to the purpose and source of the deposit being made. The purpose and source should be documented on the deposit slip. All deposits should be reviewed by management centers or the appropriate department for accuracy and proper authorization prior to making a deposit.

Deposits to Sponsored Projects

Please submit sponsored project deposits to Debbie Elam (368-5944), Sponsored Projects Accounting, BioEnterprise, 3rd Floor, 7037. If using campus mail you must use a confidential envelope marked "personal to be opened by addressee only". Payers (e.g. sponsoring agencies) should be instructed to send their checks directly to the Sponsored Projects Accounting.

Research, special programs, training, and miscellaneous accounts may be identified by their budget type.

Charitable Contributions

Submit charitable contributions to Advancements Services, University West/Bioenterprise Building, Room 406. As noted in IRS Publication 526, a charitable contribution is a contribution or gift to, or for the use of, a qualified organization such as CWRU. It is voluntary and is made without receiving, or expecting to receive, anything of substantial value. In order for a contributor to claim a tax deduction for certain types of donations they must be received and acknowledged by Development Services. For additional information call Cindy Creegan, x6079.

Submit all other deposits to the University Cashier, Yost Hall room 127.
